Terms of service

Last updated: 3 November 2026

1. Who we are and what these terms cover

DigiDent is provided by Spics Digital Marketing SH.P.K. (“we”), an SH.P.K. at Rruga Ukë Bytyqi, Prizren, Kosovo, registered with ARBK under NUI 812274893; hello@digident.app, www.digident.app (Law No. 04/L-094 on Information Society Services). Section 2 applies to site visitors; sections 3 to 14 are our contract with your clinic for the app at portal.digident.app. We serve only dental clinics and dentists, not consumers.

The contract consists only of these terms, the Data processing agreement (DPA), your written confirmation and any individual written agreement (such as Enterprise pricing); the individual agreement prevails, then the DPA on data processing, then these terms.

The clinic (“you”) is the dental clinic, practice or dentist that concludes the contract. The app includes its updates. A user is anyone with an account in the clinic; a doctor is an active user with the doctor role. Clinic data is everything users record in the app. A billing period is the month or year paid for. “In writing” includes email; days are calendar days.

2. Using our website

Site information is not an offer; contracts are made only under section 3. Features, prices and offers change; those shown apply. Nothing here is medical, legal or tax advice. Demos are free and non-binding; don't send health data through the form.

The name, logo, texts, design and screenshots are ours: you may view, print or save pages and share links, but not republish, sell or adapt them, or use our name or logo to pose as us or imply endorsement, without our written permission.

Don't misuse the site (false details, spam, unauthorised access, overloading, scraping, harmful code); report security weaknesses instead. It comes with no guarantee of availability or accuracy.

3. How the contract is concluded

  1. You book a free demo on our site or at hello@digident.app.
  2. We email you links to these terms and the DPA.
  3. You confirm in writing the clinic's official registered name, address and business registration number and its clinic admin's name and email, accepting these terms and the DPA.
  4. We check the details, set up and activate the clinic with you and email the clinic admin an activation link.

The contract is concluded at activation; the activation email confirms receipt of your order, and the free trial starts that day. A contract by email is as valid as one on paper (Law No. 04/L-094, Article 11); the person confirming must be authorised to represent the clinic. Send corrections by reply or to hello@digident.app. We archive your confirmation, the activation email and the versions in force, with copies on request. You can save or print these terms from this page at any time. The contract is concluded in Albanian or English; we subscribe to no code of conduct.

4. Free trial

The first 14 days from activation are free, with every feature and no setup fee; the terms and the DPA apply from the first personal data entered. Before the trial ends, tell us in writing your plan and billing (monthly or annual); paid subscription starts the day after the trial. Otherwise we pause the account: no logins, data kept, nothing to pay. Within 30 days after the trial you can still choose a plan (billing starts on reactivation) or request an export, sent within 30 days, after which we delete the data, no later than 90 days after the trial. If you do neither, the contract ends and we delete the data at the end of those 30 days, after an email reminder at least 7 days before.

5. Plans and prices

Every plan includes every feature and unlimited patients for one clinic; plans differ by number of doctors (clinic admins and receptionists don't count).

PlanMonthly billingAnnual billingDoctors
Starter€15 a month€12.99 a month (€155.88 a year)1, plus up to 2 more at €5 a month each
Professional€35 a month€30 a month (€360 a year)Up to 4, plus 1 more at €5 a month
EnterpriseAgreed in writing6 or more

The prices on the pricing page on the day you choose apply, in euros excluding VAT, which is added at the legal rate.

Launch offer: if your written confirmation reaches us by 31 December 2026, you get an extra 10% off the first 12 months of a paid Starter or Professional subscription, monthly or annual.

You can add doctors or move up a plan at any time, at the higher price from the day of the change, with the difference invoiced pro rata for the rest of the billing period; moving down, to fewer doctors or from annual to monthly billing applies from the next period. Price changes are announced by email at least 30 days ahead and apply from the first billing period (or subscription year) after that notice; if you don't accept, cancel before then and you won't pay the new price.

6. Billing, payment and suspension

We invoice by email in advance for each period. Pay by bank transfer to the account on the invoice within 15 days of its date. If you pay late, we send a written reminder with another 14 days; then we may suspend access for all clinic users, deleting nothing, until you pay, while the subscription and fees continue. After 30 days of suspension without payment we may end the contract (section 7).

7. Cancellation and ending the contract

The subscription renews automatically for the same period. You can cancel at any time in writing to hello@digident.app, effective at the end of the billing month or year, with full access until then. Current-period fees are not refunded unless the law requires it or the contract ends early through our breach, your objection to a new sub-processor or force majeure; we then refund fees paid for the period after the end.

Either party may end the contract in writing for a serious breach not put right within 14 days of a written request, such as non-payment 30 days into suspension (section 6), unlawful use, outsider access or getting around security. If we end it for your breach, fees are not refunded and unpaid invoices stay due, but data return (section 10) still applies.

8. Your responsibilities and acceptable use

As controller, the clinic is responsible for its patients' data under the applicable data protection law; we help as the DPA describes. The clinic admin creates personal accounts with roles fitting each job; keep passwords secret and deactivate leavers at once. Report suspected unauthorised access and security weaknesses at once. You answer for your users and the accuracy of your data.

DigiDent is administrative software, not a medical device: it does not diagnose, recommend treatment or check prescriptions, and clinical decisions, prescriptions, invoices and the 6-month check-up suggestion are the clinic's professional responsibility. It does not fiscalise invoices or issue fiscal receipts; your tax and fiscal obligations remain yours, as do your connection and devices. Calls and messages go through staff's own phones and accounts (for Albania, see the WhatsApp restriction in the DPA).

Use the app only for the clinic's work, lawfully. Not allowed: outsider access, reselling or renting; accessing other clinics' data or unauthorised parts; security or load testing without our written approval; malicious or infringing content; automated extraction or overloading; copying, modifying, decompiling or reverse engineering the software, except as the law expressly allows. We may at once suspend an account that seriously endangers the app, other clinics or patients, as far as needed and with reasons, until the risk passes.

9. Our service and support

We provide the browser-based app with reasonable care; data location and protection are in the DPA. We announce significant changes in advance, and planned maintenance where possible, but don't promise uninterrupted or error-free availability. Support is by email at hello@digident.app, in Albanian or English.

10. Your clinic's data

The clinic data belongs to the clinic. We process it only to provide the service, never for our own purposes, under the DPA, which forms part of these terms. For the contract, billing, support and account security we are controller (Privacy policy).

When the contract ends you can request an export of all clinic data, after which we delete it, as the DPA describes. Deleted data can't be recovered. In a dispute, on request we return all data immediately, even during suspension and regardless of payment.

11. Intellectual property and confidentiality

The app and the DigiDent name and logo remain ours. During the subscription, including the trial, the clinic has a non-exclusive, non-transferable right to use the app for its own professional activity. The clinic keeps the rights in its data and logo and lets us use them only for the service, such as the logo on prescriptions.

Each party keeps the other's non-public information confidential, also after the contract ends, using and sharing it only as the contract needs, with people bound to confidentiality: for us, all clinic data; for you, DigiDent's individual prices and security details. Legally required disclosure stays within what is required, with prior notice where allowed.

12. Liability and force majeure

Neither party excludes or limits liability for intent or gross negligence (Law No. 04/L-077 on Obligational Relationships). Towards site visitors, as far as the law allows, we are not liable for loss from the site, its interruptions or linked sites; non-waivable rights are unaffected.

Towards clinics, our other liability is capped in total at the fees paid in the 12 months before the claim. We are not liable for indirect loss (lost profit or income, damage to reputation), or for damage from data you record, your clinical or business decisions or use contrary to these terms. The limits also apply to the DPA, as far as the law allows, and don't limit the rights of patients or others under data protection law.

Neither party is liable for failure or delay caused by force majeure (Law No. 04/L-077, Article 246); the affected party promptly notifies the other and limits the consequences. If use of the app is prevented for more than 30 days, either party may end the contract in writing, with a refund under section 7.

13. Changes to these terms

We email clinics the new version with a summary of changes at least 30 days before it takes effect, and publish it here; price changes follow section 5. We ask for acceptance in writing (an email reply is enough); silence is not acceptance. If you don't accept, you can cancel without penalty before it takes effect, keeping the current version until the subscription ends. If you neither accept nor cancel, the current version continues, but we may end the contract in writing at the end of the billing period, at least 30 days after the notice. For section 2, the “Last updated” date shows the latest change, and material changes appear on the site in advance.

14. Law, disputes, notices and language

Also when the clinic is outside Kosovo, these terms and the contract are governed by Kosovo law and the courts of Kosovo have exclusive jurisdiction: for disputes under the contract between businesses, the Commercial Court of Kosovo in Prishtina (Law No. 08/L-015 on the Commercial Court); for the website, the competent court in Kosovo. We first try to settle disputes amicably.

Notices are in writing. We write to the contract email address and, for urgent security matters, also to the clinic admin; tell us if it changes. You write to hello@digident.app. Notices count as received on reaching the inbox. These terms are in Albanian and English; the Albanian version prevails. An invalid provision is replaced by the closest valid one; the rest stays in force. Delay in exercising a right is not a waiver of it.
